Members

Invite teammates, manage roles, see who has access to your organization, manage pending invitations, and remove a member.

Click your avatar at the bottom of the sidebar to open the user menu, choose Organization Settings, then Members, or go directly to /dashboard/settings/members. This is your organization's member list, not your own profile; for your name, language, and time zone, see Your settings. For your organization's display name and logo, see Organization profile.

Every member holds one role

Every member holds exactly one role: the built-in Admin or Member, or a custom role your organization has created; see Roles for what each role can do. Admins can invite teammates, revoke pending invitations, remove members, and change anyone's role; a custom role can be given the same abilities. Anyone without that access can see both lists but can't manage them: the only membership action open to them is leaving the organization themselves. The person who creates an organization becomes its first Admin.

See who's a member

The list is split into two tabs: Team Members and Pending Invitations. Everyone can see both, regardless of their own role.

The Team Members tab shows everyone with active access to your organization: their name (or their email, if they haven't set a name yet), their avatar (a custom photo they've uploaded, their login-provider photo, or their initials if they have neither; see Your settings for uploading your own), and their role (Admin, Member, or a custom role's name). Your own row carries a You badge. Teammates you've invited who haven't joined yet also appear here, tagged Invitation Sent.

Each tab has a filter bar at the top: type in the search box to find someone by name or email, and use the role dropdown to show only a specific role (any role your organization currently offers) or everyone. The filters apply to whatever's in that tab: the search box matches invitations by email too.

Invite a teammate

The Invite Members card only shows up if you can manage members (Admins, or anyone holding a custom role with that access). You can invite one teammate or several at once.

Click your avatar at the bottom of the sidebar to open the user menu, choose Organization Settings, then Members.

In the Invite Members card, enter an email address and pick the role to invite them as: any role your organization offers. It defaults to Member.

To invite more people in the same batch, click Add more and fill in another email and role. Remove a row you don't need with the ✕ next to it.

Click Invite to send every row at once.

The invitation email is sent by WorkOS, our identity provider, using its own default template; there's no custom email to write or configure. Once the invited person accepts it and signs in, they show up as an active member with the role you picked; there's no separate approval step on your side.

Each row is checked on its own before it's sent, and a row that fails is rejected with a specific message next to it while the others still go out:

  • the address isn't a valid email
  • you entered your own email
  • the address already belongs to an active member
  • the address already has a pending invitation
  • the same address appears more than once in the batch

If part of the batch sends and part doesn't, you're told how many were sent and how many were skipped.

Anyone on the invited domain can accept the link

WorkOS's hosted invitation link can be accepted by any user signing up with an email on the same corporate domain as the address you invited, not only the exact address you typed. This is WorkOS's own platform behavior, not something this dashboard configures.

Manage pending invitations

An invitation you've sent that hasn't been accepted yet appears in the Pending Invitations tab, with the date it was sent and the date it expires. It also shows in the Team Members tab, tagged Invitation Sent.

An invitation past its expiry date is flagged Expired. WorkOS can take a moment to update its own status internally, so the expiry date shown is checked directly rather than assumed from that status.

Everyone can see pending invitations. Only someone who can manage members (Admins, or a custom role with that access) can act on one, from the … menu on the invitation's row (in either tab):

  • Resend invitation re-sends the invitation email through WorkOS. It runs straight away (no confirmation) and only works while the invitation is still pending; if it was accepted or revoked since the page loaded, the stale row drops off on the next refresh.
  • Revoke stops the invitation link working immediately. You're asked to confirm first.

Change a member's role

Anyone who can manage members can change any member's role (including their own) from the role selector on that member's row: pick any role your organization offers. Everyone else sees the same row as a plain badge; they can't open the selector. See Roles to create a custom role first, or to see what each existing role grants.

An organization always needs at least one Admin; see the callout below for what that blocks.

Role changes and access take a moment to line up

Changing your own role applies to you immediately. Changing someone else's role, or editing the permissions of a role they hold, takes effect for them the next time they sign in (their session also refreshes naturally on its own), but never instantly on your screen.

Remove a member, or leave

Open the … menu on the row and choose the action, then confirm. On another member's row that's Remove (for anyone who can manage members); on your own row it's Leave. This takes effect immediately: the person loses access to the organization's dashboard right away. Leaving is available to every member regardless of role.

If you leave and you belong to other organizations, you're switched to one of them automatically. If you don't belong to any other organization, you're sent to create one.

An organization always needs at least one member

You can't remove the last active member, including yourself if you're the only one left. Invite someone else first.

An organization always needs at least one admin

You can't remove or demote the last remaining Admin, including leaving the organization yourself, if you're the only Admin left. Promote someone else to Admin first.
